The DISCOVERY CUP has partnered with the Conference and Visitors Bureau of
Montgomery County, Maryland to provide hotel accommodations for all participating teams. Teams are required to use these services as a condition of acceptance. 
 
The Conference and Visitors Bureau of Montgomery County, Inc. is pleased to assist teams in securing hotel rooms for the upcoming tournament. We ask that you thoroughly read all reservation information regarding hotel facilities prior to filling out your team rooming list.
 
You may complete your team’s rooming list by logging into the housing registration site at www.visitmontgomery.com/registration.

Timeline:
September 9th         Reservations must be made by September 13, 2009 by signing on to the housing registration site. 
September 16th         The Conference and Visitors Bureau will notify teams of their hotel assignment.
September 18th        Team Cancellation Deadline:  Teams canceling 50% or more of their room block after September 18th will forfeit one night’s room and tax deposit.
September 25th        Hotels will send confirmation numbers for each individual reservation to each team.
October 6th             Individual Cancellation deadline:  Individuals may cancel rooms as long as it does not equal 50% or more of the team’s total room block, up to 72 hours prior to arrival.
FAQ’s
  1. How do I register my team?
Visit the housing registration site at www.visitmontgomery.com/registration.  If you are a first time user, you would click on the “click here to register.”  Once you have registered, you will sign in with your login (your email address) and your password you created.  Under the 2009 Discovery Cup Soccer Tournament, you will see two links.  One will bring up information on the cancellation policies, deadlines, and the participating hotels with their rates and descriptions.  The second link is your housing reservation/rooming list form.  You will enter all information requested on the form.  You are able to sign back in to the housing registration site to update this form at anytime up until the deadline of September 9th.  Please make sure to hit “submit” at the bottom of the form if you have made any changes. 
  1. What if I want to be with another team?
There is a section on the housing reservation form that will allow you to enter the name of another team you are requesting to be with.  Please note, we will do our best to place teams that are requesting to be together at the same hotel, but we cannot guarantee this.  If you request to be with a team, please also note that this will override your top hotel choices to try to accommodate this request.
  1. How are teams placed into hotels?
All teams are placed on a first-come, first-served basis.  The order is from your original submission on the date and time. 
  1. Will I be placed in my top 6 hotel choices?
We will do our best to place all teams into one of their top hotel choices; however, we cannot guarantee this request.  Hotels can provide a certain amount of rooms, so if teams are requesting the same hotels, those hotels are booked first.
  1. Is your site a secure website?
Yes, our site is a secure website.
  1. Do I need a credit card number for each individual?
Yes, we will need a credit card number next to each individual reservation name on your teams reservation form.  You can hold all rooms under one credit card as long as you supply each individual name to make each individual reservation under. Please be advised, that on September 18, 2009, some hotels will charge a one nights room and tax deposit for each room.  Also, please note, that if you do not have all credit card numbers when you are completing your reservation form, you still should submit your form as you can go back and add any information up until September 9th.
  1. Can individuals on my team call the Conference and Visitors Bureau with their credit card number?
No, all information must be submitted online.  If you do want to have individuals put in their own credit information, you can give all members on your team the login and password to the housing registration site that you have created.  Each team member can go into the housing reservation form and put their credit card number next to their name that you filled out.  Once a credit card number is entered onto the housing reservation form, the credit card number is masked.  So, the next time anyone logs into the system, they will only see the last 4 digits.  Example:  ************5566
  1. After your deadline of September 13th, what do I do if I need to make a change to my rooming list
On September 9th, the Conference and Visitors Bureau (CVB) will close the housing registration site so we can place all teams into their assigned hotels.  On September 16th, the CVB will notify teams of hotel assignments.  On September 25th, the hotels will send you the confirmation numbers.  Once the hotel has sent you the confirmation numbers, you can now make any changes to your rooming list by calling the hotel directly as the CVB cannot view the hotels reservation systems.
  1. Will the credit card numbers be charged a deposit?
Hotels may charge a one night’s room plus tax deposit for each individual reservation on September 18th, 21 days prior to arrival.
